An office water quote checklist keeps equipment, filtration and service from disappearing inside one monthly number. Give every provider the same site count, headcount, attendance pattern and water preference when you compare office water quotes.

Identify the exact equipment and workplace fit

Record cooler or dispenser model, quantity, capacity, temperature options and whether equipment is rented, leased or supplied as part of service. For bottled programs, include bottle size, expected quantity, racks and delivery schedule. For bottleless systems, describe the connection, tubing route, power and any drain need.

Use the office water service guide to distinguish the system types, then compare typical categories in the water delivery pricing guide.

Make filtration, sanitation and repairs visible

Ask which filters are included, what each stage is intended to address and who decides when replacement is due. The quote should identify routine sanitation, inspection and preventive service. Repair response, replacement equipment and service-call charges also need written treatment.

The office water FAQ center can help facilities teams prepare questions about installation, maintenance and water systems. Do not accept “maintenance included” without a list of tasks and intervals.

Normalize contract and change costs

Record term, renewal, price adjustments, notice requirements and cancellation treatment. Ask about installation, removal, relocation, added equipment, missed delivery and building-access charges. Compare those items against the contract terms guide.

  • What appears on a normal monthly invoice?
  • Which services create separate charges?
  • Who owns and insures the equipment?
  • How quickly is a failed cooler replaced?
  • What happens when the office moves or closes?

Finally, compare the bottleless proposal with the monthly cooler cost breakdown. A complete quote should let the buyer picture installation day, an ordinary month, a repair call and the end of the agreement. If one of those moments is missing, the price comparison is incomplete.

Ask providers to return the checklist with proposal references beside each answer. This prevents a helpful sales email from becoming disconnected from the agreement. Mark every allowance and assumption, especially construction work, after-hours access and water conditions that have not been tested.

Use the completed checklist during installation and the first service review. Confirm model, placement, filter configuration, invoice structure and support contact against what was accepted. If anything changes, record the reason, price effect and contract treatment before the office considers the quote fully delivered.

Keep that record with the equipment inventory so future managers can verify service without rebuilding the original comparison.
