Which office water contract terms affect the total cost?

Ask for a written list of rental, installation, bottle delivery, filtration and service charges. Check minimum orders, fuel or route surcharges, bottle deposits and fees for an extra delivery. A bottleless plan may bundle filter changes; another may bill parts and labor separately. Neither arrangement is automatically better, but they aren’t comparable until those costs are visible.

Check renewal, cancellation and office relocation

Find the initial term, renewal term and deadline for giving notice. Ask whether renewal is automatic and how a rate increase is communicated. Put the notice date on your facilities calendar rather than relying on a sales conversation.

If your lease ends before the water contract, ask what happens when equipment is moved or removed. Get the relocation charge, cancellation calculation and responsibility for returning rented equipment in writing. For a growing office, confirm whether adding a cooler starts a new term or changes the existing agreement. These are practical questions about water contract flexibility, especially when occupancy is uncertain.

Who handles maintenance and a broken cooler?

The agreement should identify scheduled cleaning, filter replacement and repair responsibilities. Ask how you request service, whether visits carry a charge and what happens if the cooler can’t be repaired promptly. Can I cancel office water service if we move?
